What does 'renewing a passport' mean?
The official Passport FAQ describes replacement as applying for a new booklet rather than extending the old one. The page includes historical information, so its old fees and processing periods should not be carried into a current application.
Separate proof of citizenship from issuance of a new travel document. If your passport is expiring, first establish the replacement procedure rather than assuming you need a fresh investment-citizenship application.
Assemble the passport file while the document is valid
The published Immigration checklist includes national identity evidence, a birth certificate and, for naturalised citizens, a citizenship certificate and a copy of the country-of-origin passport. Use it to request a current personal checklist, not as confirmation that every individual file is complete.
Before sending originals, make an inventory and check names, dates of birth and spelling. Explain differences between records early. Do not send a complete identity file in response to an unverified messenger request.
- Locate the citizenship certificate and identity-registration documents.
- Keep a copy of the current passport's personal-data and expiry page.
- Prepare relevant name-change or civil-status evidence separately.
- Request the current form and requirements for originals, certification and photographs.
- Agree a secure method for transferring and returning documents.
Why the previous passport may not be sufficient
The published Passport Policies state that an earlier passport booklet alone is not sufficient evidence of entitlement to citizenship. The authority checks the underlying basis when issuing a new document; the policy also provides for original supporting evidence.
Keep the citizenship certificate separately from the passport. A family can maintain an individual record of available documents, original locations and authorised contacts. That is our organisational suggestion, not an additional government requirement.
If you live outside Vanuatu
Before arranging travel, obtain written confirmation of where to apply and whether personal attendance is required. Ask about fresh biometrics, the office accepting the file and who may collect the document. Permission to use a representative does not automatically remove attendance requirements.
No universal fully remote promise is appropriate. A practical plan depends on your country of residence, the available application channel and current rules. A friend's earlier successful replacement does not confirm the position for your new file.
- Where are applications from your country of residence accepted?
- Which originals are needed, and how long are they retained?
- How are biometrics and appointments arranged, and are their costs included?
- How is the old document returned and the new one delivered?
- Who should you contact if processing overlaps with travel?
If the passport is lost, stolen or damaged
The published passport policy calls for a police report for loss or theft. Immigration's page also warns of additional costs where there is a problem with the document. Confirm the exact procedure and applicable charge before paying.
Record what happened and contact the passport authority or a verified representative. Prepare the document number, copies and details of its last use. If it is later found, confirm its status before trying to travel on it.
Do not publicly post passport or citizenship-certificate photographs while seeking help. An initial enquiry can usually describe the problem; agree the secure transfer of personal records separately.
How to budget for replacement and timing
Request a replacement-specific breakdown: passport fee, any urgency or loss supplement, representative services, biometrics, delivery and travel. An item appearing in a quote does not make it mandatory for everyone; ask for its basis and recipient.
Domestic production time is not automatically the time to receive a passport abroad. Your calendar includes evidence collection, appointment availability, checks, possible follow-up requests and delivery. Avoid non-refundable travel bookings until those stages are confirmed.
Also check the destination's remaining-validity requirement. A passport valid today may not support a particular journey several months later.
Plan each family member's replacement separately
Parents and children may have different expiry dates and filing requirements. The published policy provides for written parental or guardian consent for people below 18. Confirm the current requirements for your family.
Review three dates annually: passport expiry, the next international journey and when replacement preparation should start. This avoids a child's document delaying the entire family's plans even when the adults are ready.
If you are still choosing citizenship, ask about aftercare: who assists with replacement and what the agreement covers after issuance. FORMA FLAGA can discuss this separately from the initial citizenship-package price.
Frequently asked questions
Must I pay the investment contribution again to replace a passport?
Do not confuse passport-booklet replacement with acquiring citizenship. Request a separate passport-procedure quote and the basis for each payment. Loss of citizenship or difficulty proving status is a different issue.
Can I replace a Vanuatu passport without travelling?
That cannot be promised universally across countries of residence. Confirm the application channel, attendance and biometrics with the competent authority or an authorised representative for your case.
How long is the passport valid?
For your current document, use its printed expiry date. Confirm the new document's validity when applying; older official information may describe an earlier passport system.
What if my citizenship certificate is also lost?
Disclose that in the first enquiry and request the restoration or record-verification procedure. Do not assume a photograph of the old passport alone is enough for reissuance.
